Outsourced Records Manager

Job Summary:

Upon request (and with approval) of Company, provides consultation and direction to customers regarding the management of corporate records and the company’s document filing system; manage through external contractors the storage, retrieval, scanning and other electronic imaging of company files and records while meeting or exceeding customer satisfaction goals; ensures compliance with state and federal regulations; manage the company’s vital records, emergency preparedness program and ensure company-wide

adherence to corporate filing and records management procedures. Ensures compliance and tracking within Accutrac. All processes and procedures related to the technical functions of this role, including but not limited to retention schedules and destruction orders, will be completed as requested and

approved by the Company.

Schedule: Monday-Friday (3 days in office 2 days remote) 8:00am-5:00pm

Pay:$90,000 Annual Salary ( Negotiable based on experience)

Essential/Key Areas of Responsibility

30% - Lead a document services administration team assigned to serve a specific segment of the company; assume responsibility and accountability for all Company and Corporate vital records managed by the team; jointly assume the responsibility and manage multi-year contracts for Company and Corporate records storage, retrieval and imaging services; review, verify, and approve all service provider invoices. Assure company compliance with all

applicable Regulatory records retention rules and regulations; take appropriate action to assure compliance. Audit files in all locations to determine adherence to corporate records procedures; provides assistance to customers to assure corrective action is taken.

30% - Manage the activities and schedules of external records management and storage contractors providing off-site storage of vital corporate documents and records; ensure that customer satisfaction goals are met or exceeded; ensure corporate records are safe and accounted for and are available for company use within the proscribed time frames specified in the contract; take appropriate action to assure contractor compliance with contract terms.

Ensure the efficient use of the company's off-site records storage and retrieval contractor; maintain a solid working relationship; inspect and review contractor facilities to ensure the company records are being maintained in accordance with the terms of the contract, take appropriate action to ensure compliance.

20% - Consult with customers and clarify objectives; evaluate needs and available options; propose options and make recommendations to improve the Records process. Prepare cost estimates and project schedules for various projects designed to minimize records storage and protect vital information in appropriate form; research and compile data related to records management activities as required by customers. Maintain the company’s central filing

system; propose and implement standard filing systems and procedures; manage the update of the filing manual and assure that all processed are current with state and federal regulations; assure that the company’s vital records emergency preparedness program is current with established industry and regulatory standards.

20% - Develop, recommend and implement plans, schedules, procedures and budgets related to records management activities necessary to assure a smooth workflow, cost effective management of records and timely delivery of records to customers. Keep informed of improvements and developments in vital records administration techniques, systems and regulatory requirements; make recommendations for the implementation of new procedures and techniques. Ensure timely completion of bi-annual records clean-up and disposal for company. Report records clean-up results to the company twice a year. Provide ad hoc reports as required by the company. Must be available in case of an emergency to retrieve company records on short notice.

Skills/Competencies:

Must be thoroughly knowledgeable of applicable state and federal records retention rules and regulations; must be knowledgeable of current document imaging technology, records storage, inventory and document protection systems. Must have excellent project management skills and be able to manage multiple complex projects simultaneously while meeting or exceeding internal satisfaction goals. Must have demonstrated contract management skills and be proficient in using records management and information retrieval systems and software. Must have the ability to evaluate records storage, retrieval and

protection systems and recommend and implement appropriate enhancements. Exercises judgment in scheduling and overseeing the work of contractors, and reporting records storage and retrieval costs to customers. Initiative is required to successfully coordinate and oversee various services and contractors concurrently. Must have excellent oral and written communication skills and be capable of thoroughly documenting specifications, schedules,

customer and regulatory requirements.

IV. Degrees/Certification/License/Experience

A bachelor's degree or equivalent in business administration, public administration or related field is desirable. Must have extensive knowledge of corporate vital records management issues, rules regulations, safety concerns and related systems. Professional experience in records management operations, of which a portion must have been in a lead capacity, is strongly recommended

(3-5 years experience)

Reasonably expected salary range: $101,700.00 - $135,600.00
