Iron Mountain Outsourced Sr. Records Analyst in Raleigh, North Carolina

Under the direction and with approval of the customer, the Senior Analyst is responsible for managing the processes related to the off-site storage of the organization’s physical records; managing the litigation hold processes; producing reports; maintaining storage vendor accounts; recommending and implementing processes to support continuous records management program improvement; and supporting services and deliverables described below.

Essential/Key Areas of Responsibility

  • Assume responsibility for managing the records management off-site storage initiative

  • Assist Sr. Manager with identifying improvement opportunities for managing boxes off-site at multiple locations

  • Lead consolidation of off-site storage across numerous locations for multiple business functions

  • Lead vendor consolidation efforts for multiple storage vendors across the business

  • Identify opportunities to reduce costs and storage volume at off-site storage locations

  • Provide consultative support and drive records management retention and storage awareness across the company

  • Assume responsibility for administration and coordination of records under legal holds

  • Provide support via email, phone or in person, i.e., logistic and procedural support, enforce standards and promote best practices for legal holds

  • Assist Sr. Manager with driving overall improvements of the legal hold process across all functional areas within the business

  • Identify records under legal hold notices, retrieve and prepare them for appropriate maintenance and/or storage

  • Provide input when needed to policies and procedures for off-site storage and vendor management

  • Provide overall records management expertise, and input and guidance for records storage practices

  • Manage and maintain quality assurance and reporting for records stored off-site

  • Monitor relevant technology tools including the records database, and suggest improvements when needed

  • Develop off-site storage documentation and provide training to personnel as needed

  • General oversight and responsibility of vendor consolidation efforts

Essential Job Functions

  • Assess records policy and create or update as appropriate, includes understanding when it is appropriate to partner with business leaders, compliance officers, and Records Manager to obtain the appropriate input.

  • Identify process improvements and best practices for a compliant records management program.

  • Build external and internal relationships

  • Identify and respond to current records management issues.

Services & Deliverables

  • Record Destruction Project: Support destruction project to reduce offsite record storage at Iron Mountain. Provide required support to complete destruction on schedule.

  • Global Site Closures/Relocations: Support shredding, archiving and disposition of IT assets. Provide required support to complete site closures and/or relocations on schedule.

  • General Global Records Storage Support: Support shredding, archiving and disposition of records/IT assets at other non-closure/relocation locations. Provide required support to timely facilitate record disposition. Provide general support through year end 2021 and through September 2022

  • Record Retention Schedules: Provide updates and summaries as requested by Customer. Provide required support to timely update RRS and related projects, including references that RRS also are applicable to electronic records.

Deliverables include but are not limited to:

  • Understand all Customer RIM policies and how current processes and systems map to those policies, including application of RRS to electronic records

  • Document processes and provide periodic updates on pending projects (Destruction, Global Site Closures/Relocations)

  • Support general Customer Record Storage activities (shredding/archiving/disposition)

  • Support RRS updates, maintenance, and summaries

Educational & Experience Requirements

A minimum of a Bachelor’s degree or seven (7) years’ experience in records management with corresponding CRM Certification required
