Iron Mountain Assistant Dispatcher in Los Angeles, California

As a trusted partner to our clients there is a requirement that our Mountaineers must be vaccinated.

Responsibilities:

  • Client-facing communications including confirmation of following days ETAs, scope of work, special instructions for drivers etc.

  • Driver-facing communications including generation and organization of paperwork that represents each day of work for a team of drivers.

  • Monitors driver progress on tracking systems and mediates any ongoing changes to the schedule or the scope of active trucks.

  • Coordinates through-bill paperwork handoffs.

  • Update system of record with actual use of labor and materials to close out billing.

  • Communicates start times to drivers daily.

  • Coordinate assist drivers for completing computer based training, submission of worked hours, and other in-office tasks.

  • Coordinates drivers with completing expense reports on a regular (weekly) basis.

  • Approve/reject completed expense reports.

  • Calculate, complete, and submit mileage manifest for payroll bi-weekly

  • Work with the Logistics Manager to ensure all trucks are properly registered and insured.

  • Coordinate trucks for repair and return.

  • Coordinate completion of driver qualification files for current drivers and new hires.

  • As delegated, request purchase orders and make purchases.

  • Provides general administrative and logistical support to the Dispatchers and coverage as needed.

Key Skills, Requirements and Competencies:

  • Administrative support experience in a professional environment

  • Excellent verbal communication, written communication, and proofreading skills

  • Keen sense of accuracy and attention to detail

  • A professional demeanor and the ability to handle matters confidentially

  • Ability to provide excellent internal client service and exhibit a sense of urgency to complete duties in a timely manner

  • Ability to interface well with all levels of employees in a highly professional and friendly manner

  • Proven team player

  • Desire to be part of a rapidly expanding business

  • Proficient in Google Office platforms (Gmail, Google Calendars, other G Suite apps)

  • Ability to adapt to changing software platforms as needed
