Iron Mountain Mortgage Solutions Specialist II in Dallas, Texas

Shift: Monday - Friday, 3:30 PM - 12:00 AM

Job Duties:

  • Validate images in the system of record

  • Create labels and assign shipments to containers

  • Inventory documents and containers

  • Move containers to new locations

  • Create new locations as required

  • Extract data to analyze for reports in Microsoft Excel creating pivot tables, using excel functions and filters

  • Pulling documents

  • Preparing documents for imaging

  • Reassembling documents from imaging

  • Ability to train new employees on job responsibilities and tasks

  • Perform other duties as assigned not limited to the above

Primary Responsibilities:

  • Operational Tasks - Accurately process financial documents according to the specifications. Meet processing goals and individual metrics. Effectively communicate with peers and management. Research and resolve customer issues. Cross train employees or provide new hire training as required.

  • Teaming/TCS – Consistently meet/exceed customer service level standards and metrics. Understand the daily volumes to meet service levels/performance and obtain feedback.

  • Human Resources/Workforce Leadership – Be familiar with the employees schedule including timecards, vacation and team meetings. Be a positive force in the operation.

  • Safety & Security - Ensure compliance with Federal, State/Provincial and local laws, as well as, Iron Mountain policies and procedures. Take active role in Facilities Self Audit program.

  • Perform other duties as assigned.

Experience Required:

  • Experience in analyzing inventory and reporting

  • Experience in the mortgage service or document custody industry

  • Experience in a goal oriented fast paced production based environment

  • Must possess or have experience in performing repetitive work task(s)

Skills Required:

  • Extensive knowledge in the use of Microsoft Excel

  • Basic knowledge in the use of Microsoft Access (Creating database structured tables, Relationships, Creating functional queries)

  • Critical thinking and excellent problem solving skills

  • Strong organizational and time management skills

  • Excellent PC and Keyboarding skills used throughout the day with high attention to detail to match names, numbers, and other data to documents

  • Must demonstrate and maintain excellent attendance

  • Basic Verbal and Written communication skills

  • Ability to move quickly/accurately with hands while multitasking

  • Ability to work Overtime and Weekends with short notice

  • Must be detailed oriented

Education Required:

  • Minimum Education: HS Diploma/GED Minimum Experience: 3-6 mos

  • Preferred Education: 2Yr Degree + Preferred Experience: 1+ years

Certifications Required: None

Physical Requirements (lifting/standing/sitting):

  • Able to reach above head, lift and move files as required.

  • Sitting required for 70-80% of the day.

  • Lifting, moving, pushing and pulling equipment, cases, metal containers, or boxes in excess of:

  • 10-20 lbs. Occasionally

  • 30-40 lbs. Daily

  • 40 lbs + Occasionally
